Public data policy
How HOABallot uses public association records for demo workspaces
Public-record-based demos help boards and managers see what an election workspace could look like for their own community. They are not official portals and do not include private homeowner data. Interactive sandbox votes are product-demo activity only and do not represent association results or homeowner opinion.
What the demo data may include
Profiles may use association names, city labels, management-company names, statutory agent names, and public officer or director names when available.
- Association legal name and location
- Management company or statutory agent when present in public records
- Public officers or directors labeled as public-record placeholders
- Last imported or last reviewed timestamp
What is not included
Unclaimed public demos are intentionally limited. They do not contain homeowner rosters, private contact lists, payment data, or official ballots.
- No private homeowner roster
- No private ballots or marked selections
- No owner emails, mailing addresses, or phone numbers
- No claim that the association uses HOABallot
How sandbox votes work
Visitors may cast sandbox votes as fictional sample homeowners so they can see the voter receipt, manager dashboard, quorum preview, audit log, ballot copy behavior, and sample exports change inside their own browser session.
- Sandbox votes are stored in the visitor's session, not as public association results
- Demo results are visible to that visitor's demo manager view
- Session demos are designed to expire or reset and are not evidence of homeowner opinion
- Secret ballot demo mode hides marked selections from manager ballot copies
Corrections, removals, and claims
Anyone can request correction of public profile data. Associations can claim a demo workspace and decide what should be shown, updated, or removed.
- Request data correction from any association profile
- Request removal of a public officer or director display
- Claim a demo workspace for association review
- Convert a demo into a real portal only after approval and setup
